How to Calculate Prorated Rent: The 3 Core Methods
When tenants move into or vacate an apartment mid-month, neither party expects to pay or receive a full month’s rent. To calculate prorated rent fairly, real estate managers and landlords use one of three established mathematical formulas.
Number of Days in the Month
The most widely used method in American residential leasing. The monthly rent is divided by the exact number of calendar days in that specific month (28, 29, 30, or 31).
Prorated = Daily Rate × Days Occupied
- Fair to both landlord and tenant
- Default in California, NY & Florida
30-Day Fixed Month Method
Treats every single month as having exactly 30 days regardless of whether it is February, April, or July. Common in commercial property management and standard Texas Association of Realtors forms.
Prorated = Daily Rate × Days Occupied
- Uniform bookkeeping every month
- Widely used in commercial real estate
Yearly 365-Day Method
Multiplies monthly rent by 12 to determine total annual rent, then divides by 365 (or 366 in leap years) to establish an unwavering daily rate throughout the entire year.
Prorated = Daily Rate × Days Occupied
- Consistent rate across all 12 months
- Favored by large multi-family REITs
Step-by-Step Prorated Rent Calculation Examples
Follow these two standard US scenarios to see how move-in and move-out calculations operate in practice.
Scenario A: Move-In on October 14th
Move-In CalculationYou sign a lease with $2,000/month rent and pick up keys on October 14th. October has 31 days.
Formula: Total days in month − Move-in day + 1
Math: 31 − 14 + 1 = 18 days occupied.
Formula: Monthly rent ÷ Days in October
Math: $2,000 ÷ 31 = $64.516/day.
Math: 18 days × $64.516/day = $1,161.29 due for October.
Scenario B: Move-Out on June 10th
Move-Out CalculationYou vacate an apartment on June 10th under an agreed end date. Monthly rent is $1,800/month. June has 30 days.
Formula: Billed days from June 1st to June 10th
Math: 10 days = 10 days occupied.
Formula: Monthly rent ÷ Days in June
Math: $1,800 ÷ 30 = $60.00/day.
Math: 10 days × $60.00/day = $600.00 due for June.

US Tenant & Landlord Legal Guidelines
Key considerations under American tenancy law when executing mid-month lease agreements:
Under standard residential tenancy law across California (Civil Code § 1945), Texas (Property Code 92), and New York (Real Property Law), legal possession begins the moment the tenant receives keys and access. Therefore, the move-in day is billed as a full calendar day of occupancy.
Many US landlords require a full month’s rent plus the security deposit at lease signing to ensure funds clear, and then apply the prorated rent credit toward the second month’s payment. In other agreements, the prorated amount is due on move-in day. Check your lease’s “Rent Schedule” clause.
International English Tenancy Guidelines: Canada, UK, and Australia
While our calculator defaults to US standards, tenants and property managers in other English-speaking nations can switch currencies ($ USD, CA$, £ GBP, A$, € EUR) and apply these recognized local conventions:
Canadian provincial tenancy boards (such as the Ontario Landlord and Tenant Board and BC Residential Tenancy Branch) recognize the exact calendar days method. Daily rent is determined by dividing monthly rent by the total days in the move-in month.
Under UK Assured Shorthold Tenancies (ASTs), tenancy agreements commonly calculate the daily rate using the annualized formula: (Monthly Rent × 12) ÷ 365 days. Switch the currency to £ GBP and select the Annualized 365-Day formula.
In Australia and NZ, residential rent is traditionally quoted weekly or fortnightly. To prorate a monthly payment, convert weekly rent to a monthly basis via (Weekly Rent × 52) ÷ 12, then calculate the daily rate for occupied days.
